How Vendra handles laundry operations
Customer orders as service sales records
Each customer drop-off is created as a sales order in Vendra. The order is linked to the customer contact, records the item count and service type on each order line, and carries the expected ready date. Service lines — Wash & Fold, Dry Clean, Press Only, Starch — are configured as service products with their respective prices. The order remains open until it is completed and the customer collects.
Staff working at the counter can create drop-off orders through the Sales module or process walk-in payments directly through the POS, depending on whether payment is collected at drop-off or at collection. Both flows create the same financial record in Accounting.
Lot tracking per customer bag
When items from a customer's order enter the laundry process, they are assigned a lot number. This lot number ties the physical bag to the sales order in the system. At any point, you can look up a lot number and see which customer it belongs to, what services were ordered, and what stage it is at. If a bag is ready before another, the system identifies each independently — no mix-ups at collection.
When an order is completed, staff mark it as ready in the system. The WhatsApp Notification module then sends a pre-approved message template to the customer's phone: their order is ready for pickup. No manual calling required — the notification goes out automatically through the WhatsApp Business API.
Walk-in payments and monthly billing accounts
For walk-in customers paying at drop-off or collection, the POS handles cash, card and mobile money payments. Each payment posts automatically to Accounting. For regular residential clients or corporate accounts, Vendra's customer account payment method posts each transaction to the customer's running balance. At month end, you generate a consolidated invoice for the full month's services and send it to the client. The outstanding receivable is tracked in the Aged Partner Balance report until it is paid.
Service order management
When a customer drops off, you open a sales order. You record the item count, service type and expected ready date. The order stays open until the customer collects.
Lot tracking per bag
Each bag gets a lot number tied to the customer's order. If someone asks where their bag is, you look up the number and see exactly where it is. No mix-ups at collection.
WhatsApp ready notification
When you mark an order as done, Vendra sends the customer a WhatsApp message automatically. They get a pickup notification on their phone. Your staff don't have to call anyone.
Monthly client billing
Regular and corporate clients don't have to pay on every visit. Charges build up on their account and you send one invoice at month end.
Chemical inventory tracking
Detergents, solvents, starch and other supplies are tracked as stock. Set a minimum level for each item and Vendra will draft a purchase order when it runs low.
VAT-compliant receipts
Every receipt shows the correct tax breakdown for your country. Works with tax-inclusive and tax-exclusive pricing.
Staff scheduling and payroll
Staff shifts — sorters, washers, pressers, counter staff — are scheduled through Vendra's Calendar module. Each employee has a working schedule assigned to their profile. Leave requests and shift changes are managed in the system, giving the manager a clear view of who is rostered for each day. Payroll is processed through the Payroll module, with salary structures that handle basic wages, overtime allowances, and statutory deductions according to your country's requirements.
Daily revenue and outstanding collections report
At the end of each day, the POS session report shows total cash collected, mobile payments and card transactions. The Accounting module's Aged Partner Balance report shows every customer account with an outstanding balance, grouped by how many days overdue. This is your collections list — you can see at a glance which accounts need a follow-up and export the list for the collections team.
Multi-branch pickup points
If your business operates multiple pickup locations — a main plant and satellite collection points — each branch is configured as a separate location or company in Vendra. Orders are created and managed per branch. Stock movements — detergents, bags, tags — are tracked per location. The Pro Plus plan gives head office a consolidated view of revenue and outstanding balances across all branches without switching between separate systems.
Which plan do I need?
Single-location laundries start on the Pro plan at $27/month — this includes service order management, POS, inventory, purchasing and accounting. Multi-branch operations use Pro Plus at $50/month for multi-location management and consolidated financial reporting.
