Appointment scheduling with WhatsApp reminders
Appointments are created in Vendra's Calendar module. Each appointment is a calendar event assigned to the dentist, linked to the patient contact, and scheduled for the correct chair or treatment room. The calendar view shows all dentists' schedules side by side so the receptionist can book without double-booking a dentist.
Vendra's WhatsApp Notification module sends appointment reminders directly to the patient's phone number via the WhatsApp Business API. A pre-approved message template goes out the day before the appointment — reducing no-shows without any manual calling by reception staff.
Treatment billing as service invoices
After treatment, the dentist or receptionist creates a service invoice for the patient. Each treatment type — Consultation, Scale and Polish, Composite Filling, Extraction, Root Canal, Crown Fitting, Panoramic X-ray — is configured as a service product with its price. Multiple treatments on the same visit appear as separate lines on the invoice. Tax is calculated automatically per your country's requirements, and the receipt is VAT-compliant.
Payment at the front desk is processed through the POS — cash, card or mobile money. Each payment posts directly to Accounting, so the daily revenue figure is always current without manual data entry.
Dental supply inventory with expiry tracking
Dental consumables — composite resins, bonding agents, local anaesthetic cartridges, impression materials, gloves, masks, sterilisation pouches — are managed as inventory products. Lot numbers and expiry dates are assigned when stock is received from the supplier. The system flags supplies approaching expiry before they reach the procedure room. Reorder points trigger automatic draft purchase orders when stock falls below the minimum level.
Patient contact records
Each patient has a contact record with their full invoice history, payments and appointments in one place. The front desk can pull it up instantly when a patient calls.
Multi-dentist appointment calendar
See all dentists' schedules side by side. Book without double-booking anyone. Vendra sends patients a WhatsApp reminder the day before so they don't forget.
Treatment invoicing
Each treatment type has its own price set up. After the appointment, you add the treatments to an invoice and the patient pays at the front desk. Tax is calculated automatically.

Composites, anaesthetics and other consumables are tracked with lot numbers and expiry dates. Vendra alerts you before anything expires. Reorder points keep stock levels safe.
Insurance billing accounts

Insurance and corporate billing
Insurance companies and corporate medical accounts are configured as customer contacts in Vendra. When a patient is covered by insurance, the treatment invoice is raised against the insurer rather than the patient. The outstanding receivable is tracked in the Aged Partner Balance report — you can see exactly how much each insurer owes and how long it has been outstanding. Patient co-payments are collected separately through the POS. This separation of patient and insurer billing eliminates the confusion of trying to track both in a single invoice.
Staff payroll for dentists and nursing staff
Vendra's Payroll module handles payroll for all clinic staff — dentists on a sessional or salary basis, dental nurses, receptionists and cleaning staff. Salary structures are configured per employment type, including basic salary, any productivity bonuses, and statutory deductions applicable in your country. Payslips are generated per employee per pay period and can be emailed directly to staff from the system.
