Dental Clinics & Practices 8 min read Updated June 2026

Running a dental practice involves a lot more than treating patients. You're also booking appointments, billing treatments, chasing insurance payments, keeping track of supplies that expire, and paying staff. When you're doing all that across separate notebooks and systems, things fall through the cracks. Supplies run out. An insurer owes you money but you can't tell how long it's been. A patient calls and the front desk can't find their record.

Vendra puts it all in one place. Patient records, appointments, treatment invoices, supply stock, insurance billing and payroll — connected, so nothing gets lost.

What dental clinic software needs to handle

The operational requirements of a dental practice span clinical administration and financial management:

  • Maintain a patient record linked to all past invoices, treatments and appointment history
  • Schedule appointments per dentist with automated reminders to patients
  • Bill treatments as service invoices — consultation, filling, extraction, root canal, cleaning, X-ray
  • Track dental supplies with expiry dates — composites, bonding agents, anaesthetic cartridges, gloves
  • Handle insurance company billing separately from patient co-payments
  • Process cash, card and mobile payments at the front desk
  • Report outstanding patient balances for collections follow-up
  • Manage payroll for dentists and nursing staff
  • Support multiple dentists operating as a single practice

How Vendra handles dental clinic operations

Dental clinic with patient records, appointment calendar and billing via Vendra ERP

Patient records as contacts

Every patient is created as a contact in Vendra. The contact record holds the patient's name, phone, email, address and any internal notes. All invoices raised, all payments received, and all calendar appointments are linked to this contact. Reception staff can open a patient record and immediately see their full financial history — outstanding balance, last visit, all past treatments billed — without navigating between separate systems.

For family accounts, individual patients can be linked to a parent company contact (the family account holder), and billing can be consolidated or kept separate per patient.

Appointment scheduling with WhatsApp reminders

Appointments are created in Vendra's Calendar module. Each appointment is a calendar event assigned to the dentist, linked to the patient contact, and scheduled for the correct chair or treatment room. The calendar view shows all dentists' schedules side by side so the receptionist can book without double-booking a dentist.

Vendra's WhatsApp Notification module sends appointment reminders directly to the patient's phone number via the WhatsApp Business API. A pre-approved message template goes out the day before the appointment — reducing no-shows without any manual calling by reception staff.

Treatment billing as service invoices

After treatment, the dentist or receptionist creates a service invoice for the patient. Each treatment type — Consultation, Scale and Polish, Composite Filling, Extraction, Root Canal, Crown Fitting, Panoramic X-ray — is configured as a service product with its price. Multiple treatments on the same visit appear as separate lines on the invoice. Tax is calculated automatically per your country's requirements, and the receipt is VAT-compliant.

Payment at the front desk is processed through the POS — cash, card or mobile money. Each payment posts directly to Accounting, so the daily revenue figure is always current without manual data entry.

Dental supply inventory with expiry tracking

Dental consumables — composite resins, bonding agents, local anaesthetic cartridges, impression materials, gloves, masks, sterilisation pouches — are managed as inventory products. Lot numbers and expiry dates are assigned when stock is received from the supplier. The system flags supplies approaching expiry before they reach the procedure room. Reorder points trigger automatic draft purchase orders when stock falls below the minimum level.

Patient contact records

Each patient has a contact record with their full invoice history, payments and appointments in one place. The front desk can pull it up instantly when a patient calls.

Multi-dentist appointment calendar

See all dentists' schedules side by side. Book without double-booking anyone. Vendra sends patients a WhatsApp reminder the day before so they don't forget.

Treatment invoicing

Each treatment type has its own price set up. After the appointment, you add the treatments to an invoice and the patient pays at the front desk. Tax is calculated automatically.

Supply expiry tracking

Composites, anaesthetics and other consumables are tracked with lot numbers and expiry dates. Vendra alerts you before anything expires. Reorder points keep stock levels safe.

Insurance billing accounts

Insurance companies get their own billing account. You invoice the insurer directly for covered treatments. Patient co-payments are handled separately at the desk.

Outstanding patient balances

The overdue report shows every patient or insurer that owes you money, grouped by how long it's been. Export the list and follow up.

Insurance and corporate billing

Insurance companies and corporate medical accounts are configured as customer contacts in Vendra. When a patient is covered by insurance, the treatment invoice is raised against the insurer rather than the patient. The outstanding receivable is tracked in the Aged Partner Balance report — you can see exactly how much each insurer owes and how long it has been outstanding. Patient co-payments are collected separately through the POS. This separation of patient and insurer billing eliminates the confusion of trying to track both in a single invoice.

Staff payroll for dentists and nursing staff

Vendra's Payroll module handles payroll for all clinic staff — dentists on a sessional or salary basis, dental nurses, receptionists and cleaning staff. Salary structures are configured per employment type, including basic salary, any productivity bonuses, and statutory deductions applicable in your country. Payslips are generated per employee per pay period and can be emailed directly to staff from the system.

Which plan do I need?

Single-location dental practices start on the Pro plan at $27/month — this covers contacts, Calendar, invoicing, inventory and accounting. Multi-dentist practices requiring consolidated reporting across locations use Pro Plus at $50/month.

Dental clinic software questions

Questions about how Vendra works for your dental practice?

Contact us
How does Vendra store patient records for a dental clinic?
Each patient is saved as a contact with their name, phone, email and notes. Every invoice, payment and appointment is linked to that contact. When a patient calls, the receptionist opens their record and sees everything — past treatments, what they've paid, what they owe.
Can Vendra schedule dental appointments and send reminders?
Yes. Appointments are created in the Calendar module and assigned to the right dentist. The WhatsApp Notification module sends the patient an automatic reminder the day before their appointment. No manual calling needed.
How does Vendra handle billing for different dental treatments?
You set up each treatment — filling, extraction, cleaning, root canal — as a service with its price. After the appointment, you create an invoice and add the treatments done. The patient pays at the desk and the payment goes straight into your accounts.
Can Vendra track expiry dates on dental supplies like composites and anaesthetics?
Yes. When you receive dental supplies, you log the lot number and expiry date. Vendra flags anything that's getting close to expiry so you can use it or replace it in time. Reorder points make sure you don't run out of critical items.
Can Vendra handle insurance billing for dental patients?
Yes. Each insurance company or medical scheme gets its own account. When a patient is covered, you bill the insurer directly. Vendra tracks what each insurer owes and how long it's been outstanding. Any co-payment from the patient is collected separately at the desk.
